As you may already be aware, there have been recent Executive Orders and Insurance Regulation Amendments in the state of New York, as a result of the COVID-19 situation. In addition to any correspondence you may receive from your Insurance Carrier, we want to make you aware of these actions. 

  • Insurers operating in the State of New York may not impose fees of late payment of premiums caused by COVID-19 disruption and must accept a policyholder’s written attestation as proof of financial hardship.
  • Insurers are prevented from reporting policyholders to credit or debt collection agencies where payment has been delayed because of the virus and says affected customers must be allowed to pay premiums over a 12-month period.
  • In addition to these requirements, insurers are compelled to notify their clients of the new regulation as part of the billing process and to set up a toll-free hotline.

RPM Insurance Agency will be primarily working remotely starting March 18th, 2020 but our hours of operations will remain Monday-Friday, 9am-5pm. We will be monitoring our emails, phone system and voicemail regularly. We have also added new and distinct extensions to our phone system that will allow for direct access to our Personal Lines and Commercial Lines departments while they are working remotely. However, email will remain the most effective way of communicating.

Our goal, as is yours, is to help reduce the possible risk of spreading COVID-19 among our employees, customers and the community at large while maintaining a high level of service with limited to no disruption. Respectfully, we ask for your patience during this difficult time.

The actions we are taking effective immediately are as follows:

  • Limiting office visitors to essential business and by appointment only.
  • NO CASH will be accepted at our office effective immediately.
  • Use of ACH (Automated Clearing House facilitating electronic payments) and Credits Cards are essential to making timely premium payments while avoiding late payments or cancellations for non-payment of premium.
  • If you have a claim, you can still contact our office via email or phone but reporting the claim directly to the insurance carrier will be a best practice to follow.

We are keeping up to date with information from New York City and State, along with other Governmental agencies, including but not limited to the World Health Organization (WHO), and the Center for Disease Control and Prevention (CDC) and as those directives change, so shall ours.

Please do your part, by not visiting our office or sending physical mail to us and utilize the other methods mentioned above. While we will do our best to maintain a minimal physical presence at our office to manage incoming mail and communications, it will be more efficient and effective to have things scanned and emailed or faxed rather than sent via direct mail.

Please note that coverage cannot be bound or altered via our voicemail or email unless confirmed by RPM Insurance Agency or insurance carrier directly.
